SOTESHOP orders in one place

Orders from your SOTESHOP store are pulled in automatically and land on the same list as every other sales channel. You see them next to orders from Allegro, Shoper or your own store, without switching panels.

Changes to older orders are picked up too

We ask the store for orders changed since the last check, not only for new ones. A payment booked three days after the order was placed comes back to us just like a fresh order, so the invoice is issued when the money actually arrived.

Multichannel inventory and oversell protection

One stock level for every channel. A quantity change is sent to SOTESHOP together with the instruction to enforce it, so sold units disappear there as well as wherever else you sell.

Publishing products to the store

Send products from the NavyFlame warehouse to SOTESHOP together with images, category and VAT rate. The rate and the availability come from your store's own dictionaries rather than from a list of ours, so the product page matches what you have in the panel.

Shipping, labels and tracking

Create shipments and download labels (InPost, DHL, Ambro, the Apaczka broker and Allegro Delivery), follow the status on a timeline and use shipping rules that pick the courier and sender data for you. The tracking number and the new status go back to SOTESHOP.

Invoices and receipts without retyping

The document is issued in wFirma, inFakt, Fakturownia, iFirma, Firmao or as a receipt, from the store order. A cancelled order produces a credit note, so no document is left for a sale that never happened.

Two stores run independently

Each SOTESHOP store is connected as a separate integration, with its own address and its own account. Order numbers are local to a store, so NavyFlame decides which store an order belongs to by its address rather than guessing.

How to connect SOTESHOP?

Check the plan and enable WebAPI

WebAPI is a feature of the PRO and VIP plans - on Start and Standard it is not there at all. In the store panel go to Configuration then WebAPI and switch WebApi on.

Grant the account WebAPI permissions

Grant the admin account you will use both WebAPI permissions: access and modification. A super admin account does not carry them by itself, and without them the login succeeds while every following request is refused.

Connect the store in NavyFlame

Under Integrations pick SOTESHOP, enter the store address (the bare host, without https:// and without the backend.php suffix), the admin login and the password, then click Test connection. We answer with your store's version, so you know WebAPI replied and not just the server.

Set the invoicing rules

Point at your accounting system and decide when the document should be issued: on payment, on fulfilment or only on demand. Separately per store if you run several.

Invoicing in your own accounting system

Every paid order from SOTESHOP turns into a VAT invoice in your accounting system, automatically and in line with Polish law, including tax IDs. You connect the software you already use and stop retyping data.

Frequently asked questions

WebAPI is available on the PRO and VIP plans. On Start and Standard the store panel states that the feature requires the PRO or VIP version, and external requests fail - no credentials get around it. The plan is changed with your store operator.

They are your store's admin account: the same login and password you use for the panel. There is no key to generate. It is worth creating a separate admin account just for the integration, so you can cut it off without changing your own password.

Most often the account is missing the WebAPI permissions. This is the most misleading failure in the whole integration: the login succeeds and only every following request comes back saying the user has no read rights. A super admin account does not carry those permissions by itself. NavyFlame's connection test tells this case apart from a wrong password and from a plan without WebAPI.

SOTESHOP has no webhooks, so we poll the store on a schedule, by default once a minute. A new order shows up on the next poll rather than in the same second.

Yes, if you want it to. The status set after dispatch is configured once in the shipping rules, and we send it back to SOTESHOP together with the tracking number. Store statuses have store-local ids, so we resolve them against your store's dictionary rather than a fixed number.

Cancelling an order, yes - that produces a full credit note in your accounting system. A partial refund is not automated, because the store's WebAPI exposes neither the refunded lines nor the refunded amount, so there is nothing to compute the correction from. You settle such a refund yourself.

No, each store is connected separately, with its own address and its own admin account. Order numbers are local to a store, so order number 3 exists in both - only the store address decides which one is meant.

Variants are read and their stock is updated, so a product with sizes syncs normally. What cannot be done from NavyFlame is creating a variant: the SOTESHOP WebAPI has no such operation, so you set the options up once in the store panel. Variant prices are read the way the store means them: a bare number replaces the product price, while a signed value adjusts it.
